Terms of Service
These are the terms for using Vantage Books. They cover what we agree to do, what we ask of you, and how either of us can stop.
Who you are dealing with
Vantage Books is made by Vantage Business Systems Ltd, a company based in Canada. When these terms say we or us, that is the company. When they say you, that means the business that opened the workspace and the people it invites into it.
Your account and your team
One person creates the workspace and can invite others into it. You decide who gets in and what they can do, so keep sign-in details to yourself and remove people when they leave. Anything done from an account in your workspace counts as done by you.
What you can put in it
Vantage Books is for running your own service business: customers, jobs, estimates, invoices, payments, expenses and the books behind them. Only put records in that you have the right to hold, and do not use the product to break the law or to send anything to your customers that they did not agree to receive.
Your records stay yours
The business records you put in belong to you, not to us. You can export them from your workspace at any time, and you can ask us to delete them. We hold them so we can run the product for you, and we do not sell them or hand them to anyone else except the suppliers listed in our Privacy Policy, who need them to do their part.
Connecting a bank
You can connect a bank account so its transactions appear beside your books. The connection is made through Plaid; you sign in to your bank on Plaid's screen and we never see your banking credentials. By connecting, you agree to Plaid's End User Privacy Policy, and you confirm you are entitled to connect that account. You can disconnect it at any time from Money → Banking. Each workspace can hold a small number of connected accounts, and a connection that keeps failing for a month is removed automatically.
It keeps records, it does not give advice
Vantage Books does double-entry bookkeeping and works out tax on the documents you create. It is not your accountant. It does not file your returns, it does not tell you what to claim, and the summaries it writes, including the ones the AI consultant produces, are a starting point for a conversation with a professional rather than the answer. Check the numbers before you rely on them.
What it costs
What you pay, and when, is whatever we have agreed with you in writing. Workspaces taking part in the early pilot are not being charged, and we will tell you well before that changes.
What we promise about uptime
We work hard to keep the product up and your data safe, and we will tell you when something goes wrong. We are early, though, and we are not promising a service level yet. If the product is down when you need it, tell us and we will get on it.
Stopping
You can stop using Vantage Books whenever you like. Export what you need first, or ask us and we will help. We can close a workspace if it is being used for something illegal, if it puts other customers at risk, or if an agreed payment goes unpaid after we have asked. Except in an emergency we will give you notice and time to get your records out.
When something goes wrong
We will fix what we can. What we cannot do is take responsibility for knock-on losses such as lost profit, lost work or lost time, and there is a ceiling on what we can owe you: the amount you paid us in the twelve months before the problem. Keep your own backups of anything you could not stand to lose.
Changes to these terms
As the product grows these terms will change. When something material changes we will tell the people in your workspace before it takes effect, and the date at the top of this page will move.
Which law applies
Canadian law applies, in the province where Vantage Business Systems Ltd is registered.
